Position Summary:

The Constituency Assistant provides support to the Constituency Manager in the day-to-day functions of the constituency office. Responds to and documents telephone and written inquiries/ complaints/ concerns raised by constituents. Will work out of constituency office in Mississauga. May be required to work out of Queen’s Park office on occasion (1-2 times per month). Advanced proficiency in French is a requirement.

Duties and Responsibilities:

Case Work (about 70% of workload):

  • Respond to constituent inquiries by email, phone, or in person as appropriate
    • Assess if the constituent lives in the riding
    • Assess if the constituent’s issue is municipal, provincial, or federal
    • Connect constituents who do not live in the riding or have municipal or federal issues to the appropriate office
    • Work with government ministries and community stakeholders to resolve constituent issues
    • Track progress of the case file in SalesForce
    • Make a follow-up call to the constituent one week after the issue is resolved
    • Report progress on case files to the Constituency Manager
  • Data Retention – ensuring constituent data is kept up-to-date in SalesForce
  • Assist with constituency events
  • Answer constituency office phone

French Work (about 30% of workload):

  • Support Queen’s Park office with French language communications:
    • Assist in translation of debate speeches and Member Statements
    • Draft speeches for Francophone events
    • Manage data and contacts within Francophone community in SalesForce
    • Manage communications with Francophone stakeholders
    • Work with Communications Director on translating Twitter/Facebook posts relating to Francophone issues
    • Translate newspaper ads into French
    • Attend Francophone events with Member (1-2 times per month)
    • Research Francophone topics as required
    • Liaise with Ministry of Francophone Affairs and the Office of the Parliamentary Assistant as required
